Taking out the Trash
Like a big bag of garbage, it's important to remove duplicate contacts from your database. There's a few ways to merge duplicate contact records. They will be listed down below (P.S. the most simple one is the third one listed below):
The first one is by going into a contact record and clicking on the double stacked check-mark icon highlighted below.
After clicking on the checkmark icon it will display potential contact records you could merge together. Sometimes you may come across an individual's contact record in which you'd like to verify there aren't any other duplicates of that record or you simply know there is already a duplicate of that contact record.
1. Automatic Detection: Our system identifies potential duplicate contacts based on matching criteria such as email address, full name, or mailing address. Check off which records you'd like to merge with the contact record you are looking at.
2. Customizable Duplicate Contact Record Selection: Define which contact records need to be to be considered duplicates by selecting which contact records to merge together then click on the Merge button.
3. Merge Functionality: Easily merge duplicate contacts into a single record, ensuring all relevant information is consolidated.
These updates aim to provide a more intuitive and efficient way to manage your data. We encourage you to explore these new features and let us know if you have any questions or feedback.
Below is a second method to merge duplicate contacts:
1. Look up the contact records you want to duplicate through one of the Search tools.
2. Click the edit icon of a record you want to merge.
3. Put a number in the Dup Group field for that person and select Save.
It is best to use a multiple digit number like "12121" so you don’t add the person to an already existing Dup Group.
4. Locate the other record which is a duplicate and click the Edit icon
5. Put the same number in their Dup Group and select Save.
Repeat all of these steps until you have added the Dup Group number to all contacts you want to merge. Once you've added the dup group to all contacts you want make a search via personal of that dup group. When you have your desired contacts follow the steps below to go to the Duplicates page and merge!
The two methods above will allow you to search various known contact records into one "grouping".
There is a third way, without going into the contact records or creating a search.
What you will want to do is the following:
1. Go to Data Tools Dropdown > click on Duplicates >
Under the Find duplicate Contacts by comparing dropdown you can select any of the options to look at potential contacts that are duplicates such as email address, first initial & last name and so much more.
2. Select which records you wish to combine, even choose the "master record" where the data will be merged too
3. Click on the EZ-Merge to merge the various groupings of duplicates, please note you don't have to merge all contacts. And you do have the opportunity to manually merge contacts via this screen.
Follow these few simple steps and those faulty, fetid records will be taken out with the trash!
