Use this guide to connect your QuickBooks Online account to Databank so eligible payment activity can be shared automatically.
This article is intended for clients setting up the integration for the first time. You will need access to both Databank and an administrator-level QuickBooks Online login and must approve the connection via Intuit. Only Payments and Sales Receipts sync to Databank. After setup, QuickBooks notifies Databank of activity. Troubleshooting tips and support contact info are provided for common issues.
Before you begin
Make sure you can sign in to your Databank account.
Make sure you can sign in to your QuickBooks Online account.
Confirm you have permission to connect apps in QuickBooks Online.
If your QuickBooks login has access to more than one company, decide which company you want to connect before you begin.
Best practice: close extra QuickBooks tabs and sign out of any unused Intuit accounts before starting. This helps prevent connecting the wrong company.
How to connect QuickBooks Online
Sign in to Databank.
From the left-hand side menu go to the Administration dropdown and select Partner Credentials.
From the Partner dropdown select QuickBooks Online.
Please note: If your databank has organizations set up you will want to make sure you select the correct sub-org.
Select the Default Campaign and Default Segment that incoming contributions from QuickBooks should be mapped to. Make sure the Status is updated to Live.
Click Connect to QuickBooks.
You will be redirected to the Intuit authorization page.
Sign in to QuickBooks Online if prompted.
Select the QuickBooks company you want to connect.
Review the requested access and click Approve to continue.
Wait to be redirected back to Databank.
Confirm the connection is complete in Databank.
Once approval is completed, Databank stores the connection details needed to keep the integration active.
What happens after setup
After the connection is established, QuickBooks can notify Databank when activity occurs in your QuickBooks company.
Databank uses those notifications to identify your organization and process supported transaction types.
Payments are synchronized into Databank.
Sales Receipts are synchronized into Databank.
Other QuickBooks events may be recorded for audit and troubleshooting purposes, but they do not create financial synchronization in Databank.
If you expect invoices, customers, or other QuickBooks records to appear as synced financial activity in Databank, that is not part of this integration flow. Only supported transaction types are synchronized.
What to expect during the connection
| Step | What you will see | What it means |

| Return to Databank | You are redirected back. | The connection is finalized and saved. |
Common setup issues
I connected the wrong QuickBooks company
If you selected the wrong company during setup, the integration may point to the wrong QuickBooks data. Contact your Databank support team and ask them to help you disconnect and reconnect the integration using the correct QuickBooks company.
I signed in to QuickBooks but the connection did not complete
This usually means the approval process was not fully completed or the browser session was interrupted before Databank received the final confirmation.
Return to Databank and try the connection again.
Make sure you complete the QuickBooks approval step.
Avoid closing the browser before you are redirected back to Databank.
I have access to multiple Intuit accounts
Make sure you are signed in with the correct Intuit account before approving access. Using the wrong account can lead to the wrong company being connected.
I expected all QuickBooks activity to sync
This integration does not sync every QuickBooks entity into Databank as financial activity. Supported synchronization applies to Payments and Sales Receipts.
How to confirm the setup was successful
The QuickBooks connection in Databank shows as active.
You completed the QuickBooks approval screen and returned to Databank.
Supported QuickBooks activity can be processed after the connection is established.
If you want additional confidence after setup, create a small test payment or confirm with your support contact how your organization validates successful synchronization.
