Meet dBot: Your AI Assistant within Your Databank
dBot is the built-in AI assistant for your Databank (TDB) CRM. It allows you to you search your data, get answers about how thedatabank works, analyze results, and even create content and images, all in plain English, without needing to know SQL or navigate thorugh menu options.
This article explains what dBot can do and how to get the most out of it.
How to open dBot
- Log in to your theDataBank account.
- Click the dBot icon (the blue robot logo located in the top right corner of your databank) to open the assistant window.
- In the Type here... text box type your request in plain language and press Enter (or click on arrow icon).
What dBot Can Do
dBot includes four main tools. You can switch between them easily within the dBot window:
| Tool | Use it to… |
|---|---|
| Query | Search and filter your database using plain English. |
| Support Chat | Ask "how-to" questions about thedatabank features, workflows, and best practices. |
| Image Generator | Create custom images from a text description. |
| Text & Data Analysis | Draft written content (emails, notes) and turn query results into charts and insights. |
1. dBot Query - Search your data in plain English
Instead of building filters by hand, simply describe the group of contacts you want. dBot translates your question/prompt into a database search and returns the matching records.
Examples of what you can ask:
- “Show me donors who gave last year but not this year” (LYBNT)
- “List contacts in Minnesota who gave more than $500 this year”
- “Find everyone who attended the spring gala”
- “Who is subscribed to our email newsletter?”
Once you have results, you can:
- Add them to your current selection to email, export, or run reports on that group.
- Replace your current selection with the new results.
- Download the results as a CSV/Excel file.
2. dBot Support Chat: Ask how your databank works
Not sure where a feature lives or how to complete a task? dBot knows thedtabank inside and out; from contacts, donations, pledges, events, email campaigns, reports, online forms, imports, and settings.
Examples:
- “How do I set up a recurring donation form?”
- “What’s the difference between a soft credit and a hard credit?”
- “How do I merge two duplicate contacts?”
- “Explain what this report is showing me.”
dBot is context-aware (iy can see the page you’re currently on). If you are looking at a specific record or report, you can ask, “Summarize this donor” or “what does this screen show?” and get an answer specific to the page you are on.
3. dBot Image Generator: Create visuals
Need artwork for an appeal, event, or email? Describe the image you want and dBot will generate it. For example: “A warm illustration of volunteers packing food boxes at a community center.”
4. dBot Text & Data Analysis: Draft content and build charts
dBot can act as your writing assistant for thank-you notes, appeal copy, event descriptions and email drafts. Additionally, it can analyze the results of a Query to surface trends, generate charts and visualizations automatically.
Tips for Best Results
- Be specific. Include dates, amounts, funds, locations, or campaign names to get accurate results.
- Ask Follow-ups. dBot remembers the conversation. If you need to refine a search, just say, “Now narrow that to only monthly donors.”
- Review Before Acting. Always double-check generated content, query results and data before you send, export, or delete anything.
- One Idea at a Time. Break complex, multi-part requests into smaller, individual questions.
Important Considerations
dBot is a powerful AI assistant, but it is a tool for guidance, not a replacement for human oversight:
- Verify Accuracy: AI-generated responses can occasionally be incomplete or inaccurate. Always verify important results.
- General Guidance: dBot’s answers are for general support and should not be considered professional or legal advice.
- Review Everything Always review generated content, queries, and images before using them.
By using dBot, you acknowledge these terms.
